Terms and Conditions for Traders

1) Booking and Payment

Successful applicants must make payment in full prior to the event using the online system above.

Traders will be situated outdoors – please bring with you a suitable outdoor Gazebo/tent, the cost for the weekend will be £100.

2) Acceptance of Application for Stall Space

Due to the limited space available, the Organiser shall have the discretion to accept or refuse any application without being required to give an explanation. Successful applicants will be notified promptly and in good time.

3) Product Definition

No goods other than those described on application may be exhibited without the prior written approval of the organiser and the organiser shall have the discretion to require the removal of any item not so approved. This will be a family event, so no offensive items are allowed to be displayed.

This is a no-smoking zone, burning of incense, joss sticks and vaping is strictly prohibited.

4) Food Exhibitors

Due to the nature of the venue, we will not be accepting applications from cooking/refreshment retailers e.g. hot food stands, tea/coffee stands, take-away vendors etc. Due to the policy of the venue, alcohol cannot be consumed/sold on premises.

5) Stand Allocation

Requests for stands in specific positions will be considered sympathetically but no such request should be deemed as being binding on the organiser. Stand allocations will be made taking into account the nature of product, type of demonstration and the general layout.

6) Stall Sizes

The traders gazebos are limited to a space of 3 meters width and a depth of 6 meters.

All display items must be contained within the defined spaces, as instructed by the organisers.

7) Electricity

Access to electricity is available at some locations, but limited. If you require a power point please inform the organiser by email (abersteampunk@outlook.com) and they will endeavour to locate a stall near to a socket (only if one is available).

8) Safety

To prevent trip hazards, please stow all boxes and packaging away safely, clear of gangways and alleyways.

As an outdoor event, the organisers are not responsible for inclement weather and the potential for damage to goods. Please make sure that any electrical items are operated within a dry area (including point of sale devices and lights).
The stall holder is responsible for the disposal of any rubbish.

9) Conclusion of Event

All Stallholders are requested to stay for the duration of the event unless there are exceptional circumstances. Out of courtesy for other traders please do not pack away until the close of business. Empty stalls have a detrimental effect on other Traders who have also paid to attend a full event.

10) Parking

Sufficient parking is available for traders/exhibitors when setting up, Portmeirion will be open to the public during these hours, please be cautious when driving within the village and ensure pathways are not obstructed when parking the vehicle.

In the public car park, stall holders park at their own risk. Steampunk Wales will not accept responsibility for any losses, damages or accidents.

Traders/exhibitors who require overnight parking can park in the secure staff/administration area.

11) Refunds

Refunds will not be given in the event of cancellation by the stallholder, poor sales, bad weather or any other event that the organiser has no control over including low visitor numbers.
